AI SDR for small business: what it does, what it costs, how to choose

An AI SDR researches prospects, writes personal outreach, follows up, handles replies and books meetings, so a small team can do outbound without hiring. This guide explains how they work, what they really cost, where they fail, and how to pick one.

Short answer

For a small business selling B2B, the right AI SDR is one that researches each prospect properly, sends a modest number of emails from your own mailbox, keeps you in control of replies and pricing, and costs less per month than a day of a salesperson's time. Enterprise tools built for thousands of emails a day and annual contracts are usually the wrong fit.

What an AI SDR actually does

A human SDR spends most of the day on five jobs. A good AI SDR does all five:

  • Find companies that match your ideal customer (industry, location, size, signals).
  • Research each one: website, services, news, the people in charge, and a reason to reach out now.
  • Write a short, personal first email and follow-ups, based on that research.
  • Handle replies: answer questions, stop on "not interested", respect opt-outs.
  • Book meetings into your calendar.

Tools that only do step 3 are "AI email writers". Tools that only do steps 1–2 are data or enrichment tools. The value of an AI SDR is doing the whole loop, consistently, every day.

Why small businesses are different

Most AI SDRs are built for venture-funded software companies: large contact databases, high volume, annual contracts, and a sales team to manage it. Small businesses usually have:

  • Local or niche markets that contact databases barely cover (dental practices, trades, agencies' clients, independent firms).
  • One mailbox and a brand to protect: a burned domain costs more than a missed lead.
  • No time to manage a tool: it has to run with a few approvals a day.
  • Monthly budgets, not annual contracts.

That changes what matters: research depth over database size, deliverability over volume, and control over autopilot.

What an AI SDR costs

There are three common pricing models:

  • Dedicated AI SDRs (for example Artisan or AiSDR): from about $250 a month for a few hundred leads, rising to thousands a month on larger plans, which are often annual, quarterly or sales-led.
  • Sending tools with AI add-ons (for example Instantly): low-cost, high-volume sending; you run the targeting, research and copy yourself.
  • Data and enrichment platforms (for example Clay or Apollo): powerful, but you build and run the workflow.

Outrio is priced for small teams: from $39 a month, monthly, with AI credits included. If your company has an Anthropic account, bring your own Claude API key: Anthropic bills you directly and no credits are used.

How to choose: a checklist

  • Does it research each company, or fill a template with a first name and company name?
  • Does it send from your own mailbox at a safe daily pace, with SPF/DKIM/DMARC checks?
  • Can it find your market (local businesses, registries, maps), not just companies in a database?
  • Can you approve emails and replies before they go out, and set how much it does alone?
  • Does it handle replies and booking, or stop at sending?
  • Is pricing monthly and predictable, with a trial?

How to set one up in an afternoon

  • Describe your offer in two sentences and name the customer it's for.
  • Connect your mailbox (Google Workspace, Microsoft 365 or IMAP) and check authentication.
  • Define the market: industry, city or region, company size, and the roles you want to reach.
  • Review the first 10 briefs and emails, adjust the playbook, then let it send 30–50 a day.
  • Handle pricing replies yourself: that's where deals are won.

Where AI SDRs fail (and how to avoid it)

  • Fake personalization: "I loved your recent post" with nothing specific. Require a cited source for every first line.
  • Too much volume: burned domains and spam folders. Keep it to a few dozen personal emails per mailbox per day.
  • Wrong targets: great emails to companies that can't buy. Qualify before writing; Outrio disqualifies companies that don't fit and shows why.
  • Autopilot on pricing: the AI promising discounts. Outrio never discusses price.

AI SDR questions

What is an AI SDR?+

An AI SDR (sales development representative) is software that does the prospecting work of a junior salesperson: it finds companies that fit, researches them, writes and sends first emails and follow-ups, handles replies and books meetings.

Is an AI SDR worth it for a small business?+

Yes, if you sell B2B and your best customers come from conversations. An AI SDR costs a fraction of a hire and works every day. It is not worth it if you need thousands of emails a day or have no clear offer yet.

How much does an AI SDR cost?+

Dedicated AI SDRs start around $250 a month for a few hundred leads and reach thousands a month on larger plans (September 2026). Outrio starts at $39 a month with monthly billing and a 14-day trial with 500 AI credits.

Will an AI SDR replace my salespeople?+

No. It takes the research and first-touch work off their plate. People still run the calls, handle pricing and close. Outrio never discusses price: those replies always come to you.

Does AI cold email hurt deliverability?+

Volume does, not AI. Sending 30–50 personal emails a day from a properly authenticated mailbox is safe. Outrio checks SPF, DKIM and DMARC and pauses if bounces rise.

Is AI cold email legal?+

B2B cold email is legal in the US (CAN-SPAM), the UK and most of the EU under legitimate interest, with an opt-out and accurate sender details. Germany requires prior consent. Outrio adds an opt-out line and honors it automatically.
